Organizations can produce thousands of documents daily (electronic and hardcopy) to perform their core processes. These documents can become difficult to manage over time if there is no system in place to track their preparation and distribution within and across functional areas. Organizations have therefore come to rely on the process of document control to effectively manage the security, versions, and availability of documents generated during daily operational activities.

Need for skills in Document Control

Document control is all to do with transferring information between relevant parties. This could be a law firm sending a report to a client, a construction firm receiving technical drawings from a designer, or a bakery giving an employee a recipe to follow, or a government registration office detailing the procedures to follow in a way that ensures smooth running of the organization.

We need to ensure that the information that reaches the end user is correct, therefore the document must be controlled to ensure that this is the case. Sometimes the information contained in a document needs to be altered; maybe the bakery has altered the recipe to add an extra ingredient, for example. Placing controls on a document means that we ensure that the document always contains the correct information.

Documents record, communicate and preserve information on what is required for an organization to function effectively. Documents describe the inputs and outputs of processes, and answer the questions ‘who’, ‘what’ ‘where’, ‘when’, ‘how’, and ‘why’ of the process activities. They even describe directly or indirectly who authorizes actions and who is authorized to perform the action. Documents are therefore considered as the guardians of an organization’s intellectual capital!
